Registration#

Create your club's account through the form at the bottom of the homepage, which you can also reach by clicking on "Register as a club": enter the club name and code, country, region, phone number and email, and press "Send request". You will receive a link by email to set the account password. Then click on "Login" at the top right and log in with the email and password you entered.

Club area#

After logging in, you enter your club's area. The column on the left (on a phone, the bar at the bottom) leads to the five sections: Today, Competitions, Athletes, Club and Website. To register for competitions you only need Competitions and Athletes; the other sections are part of the club management, which you can use whenever you want.

The Today page shows the next competition in the calendar with the "Register athletes" button, the requests to approve and the steps to get started with club management. The "Guide" button, below the sections, summarizes all the features.

All personal data is managed in compliance with privacy law and the directives of the European Union. You can see more details on the page Information on the processing of personal data.

Athletes#

In the "Athletes" section you find the list of your club's athletes, whom you can register for the various competitions. The fastest way to add them is "Import licenses": upload the PDF of the federation licenses (up to 5 files per analysis) and press "Analyze PDF". The program reads names, year, sex and belt and shows you the athletes to create and those to update, before importing them.

To add an athlete by hand, click on "New Athlete" and fill in first name, last name, sex, year and belt; date of birth, course, tax code and parent details are optional. To edit or delete an athlete, click on their name: their profile opens, with "Save" and "Delete".

Entering an athlete here does not register them for a competition: registration is done from the "Competitions" section.

Warning: editing or deleting athletes from the list does not carry the changes over to the competitions they were previously registered for. Once registered, the athletes are copied into the competition data. Any changes after the registration must be made by the organizer, whom you can contact at their email address.

For the pairs of kata competitions you can also enter athletes from other clubs: at the bottom of the list, press "Add external athlete" and fill in their data and the data of their home club. External athletes can only be used for kata competitions.

Competitions#

In the "Competitions" section you can see the upcoming competitions managed by Judo in Cloud, with dates, venue and number of registered athletes. The filters at the top separate the upcoming competitions, those you have already registered athletes for, those you organize and the past ones. The number on each filter tells how many competitions it contains.

By clicking on "Register athletes" the competition's sheet opens. Choose the athletes from the search field, which suggests only those not yet registered (with "Create athlete here" you can add a new one on the spot). The chosen athletes go into "To register": enter the competition weight for each one and press "Confirm registration". Remember to enter the real weight (for example, 63.7) and not the weight of the category.

Once you have athletes registered for the event, you see them in "Already registered athletes" with the category they have been assigned to. With "Download pass" and "Download list" you can download the competition pass and the list in PDF format. The competition pass is per club, so several coaches can use it without needing to register them.

To unregister an athlete, just press "Unregister". If their weight must be changed, you can unregister them and register them again with the new value. If the competition has a training camp, its sheet in the Competitions section also shows the "Stage" button: choose the sessions each athlete will attend and press "Confirm stage registrations". If the competition has partner hotels, you book them from the competition's sheet.

Paying the fees#

At the bottom of the competition's sheet you find the organizer's registration fees. Below the fees, under "Make the bank transfer", you find the organizer's recipient, IBAN and payment reference: tap a value to copy it into your bank's website. Mark with + and − how many fees you pay for each type, attach the PDF or the photo of the bank transfer in "Transfer receipt" and press "Send payment". If you do this while you have athletes in "To register", the button becomes "Register and pay" and does both things. You can also register the athletes right away and upload the receipt later.

The payment is reviewed by the organizer: in "Payments already sent" you see its status and the uploaded receipt. The payment is not tied to specific names: for example, you can unregister an athlete and register another one in their place. The payments are received directly by the organizer and Judo in Cloud has no control over them: any refunds must be agreed with the organizing staff.

Kata competitions#

You register for kata competitions from the same "Competitions" section, with "Register athletes". In the "Add a couple" box choose the Tori athlete, the Uke athlete and the kata, then press "Add to list": the couple goes into "Couples to register". If you make a mistake, press "Delete" next to it. Once you have entered them all, press "Confirm couple registration": selecting them is not enough! The registered couples appear in "Registered couples".

If the partner is from another club, use the "Register a single" box: choose the athlete, the kata and the role (Tori or Uke), enter the partner's first name, last name, club and club code and press "Register single". When the other club also registers the partner and names your athlete, the couple is formed automatically; otherwise the organizer can match the couples.

Club-KataSingolo

Only for kata competitions that are not national, you can enter an athlete from another club directly from the competition: press "Add athlete from other clubs" and fill in the data of the athlete and of their club. The athlete then appears in the Tori and Uke lists. For the National Kata Championships, each athlete must be registered from their own club's account.

To pay, in the "Registered couples" and "Single registrations" lists tick the registrations you pay with the bank transfer. In "Payment receipt (PDF)" press "Choose PDF", choose the receipt and press "Upload payment": the number in brackets tells how many registrations it covers. For a single waiting for the partner, you pay the fee of the whole couple. You can upload several files one after the other: next to each couple you see whether it is "paid" or "to pay".

In the "Registered athletes licenses" box press "Upload" next to each athlete to upload their license for the accreditation. If an athlete is registered for several kata, the license is valid for all of them.

The day of the competition#

On the day of the competition, first of all you must go through the accreditation and communicate which of the athletes you registered are currently present. This is very important: for the athletes who do not need to be weighed, being marked as present is required to be drawn; for the athletes who must be weighed, being marked as present makes them appear in the weigh-in room. In this way, the organizer can be sure that whoever is drawn is actually present and has paid the registration fee (if paid on site).

Remember, on the page you can open by scanning the QR Code on the pass, you can see in real time the status of your athletes (Not verified, Present, Registered) and, if drawn, on which tatami they fight! Find out more on the next page!
