 What are the advantages of Judo in Cloud?

A judo competition is a complex event, where many things must be organized and you must be prepared for every eventuality. Competition management software must support the organizer and the competition officials by simplifying the course of the event, not create further problems.

Ideally, competition management software must be intuitive and easy for anyone to use, easy to configure, must not break down and must not require a specialized technician to ask for help with every difficulty.

The ideal management software

Keeping the data on a physically present computer seems like a solid idea, but it creates many problems that are no longer necessary with modern technologies. There is the risk that, for any reason, the computer with the data could shut down or even break. Then all the computers must be physically connected, and given the frenzy of a judo competition, you must be very careful that these cables are not unplugged or damaged. Finally, you need specialized technicians, or very skilled and well-trained competition officials, able to do the complex setup on every PC. All these actions cost a lot in terms of labour, materials and stress.

On-site solutions

Cloud technologies, where the entire application and all its data are stored in data centers and accessed via an internet connection, have made giant strides in recent years because of the huge advantages they give both to customers and to developers. With modern fibre connections available everywhere, wireless connections able to handle hundreds of connected users without problems and very powerful servers that are easily accessible, the internet today is immediate and always available.

For customers, the cloud makes the application easier to use, because any device can be used immediately without having to configure or connect anything, other than an internet connection. If a computer can no longer be used, you simply connect from another one to continue without problems or large losses of time. In particular, Judo in Cloud uses very little bandwidth: even if there is a lot of interference at a competition because of the high number of people, the data exchange will not take more than two seconds. This is because we worked hard to optimize everything, thinking about everyone's needs and resources.

For developers, the cloud gives us total control over how to use the application in the best way. By using the powerful servers of [Google Cloud](https://cloud.google.com/), we can use as many as needed based on the traffic we receive, to have zero slowdowns in the calculation of draws and repechages and the certainty that our application never breaks. For the data, we use secure and resilient databases, using all the most recent innovations to ensure speed and robustness of the data. We rely on [MongoDb Atlas](https://www.mongodb.com/atlas/database), a leader in the sector. We can offer you a top-level service at maximum performance, all without any configuration on your part.

 How safe is it to have the data online?

On 20 and 21 January 2024 we held the 15th Trofeo in Lavis, with almost 1200 participating athletes: 500 on Saturday, 700 on Sunday. The event was entirely managed with Judo in Cloud, with exceptional results! You can see the information about the event at the [following link](https://judoincloud.com/15-trofeo-judo-citta-di-lavis).

As computer scientists, we were able to verify the ease of use, the autonomy and the reliability of our software, without any need for our intervention. Judo in Cloud passed with flying colours!

In the following paragraphs we show the usage data collected from the program, to prove that nowadays, even though sports halls are full of people and the interference is enormous, the cloud works when used by well-built software. The entire connection was based on a couple of SIM cards that provided internet inside a router. The connection was provided via wireless, with no cabling.

In short, Judo in Cloud handled a maximum of 4 requests per second with a maximum average latency of 0.5 seconds, with a maximum payload of 60kb incoming and 40kb outgoing (for our servers, so the opposite for the physical computers of the competition).

In simpler words, the connection at the sports hall was about 100 kb/s at the worst moments, and the program responded to every click in less than a second. At the same speed, a normal Facebook photo of 5 Mb would take almost a minute to load!

We have two types of "computers" that we use to handle the incoming requests: "client" sends the web pages that you see on your PC or phone; "server" does all the calculations for the competition and connects to the database.

It is interesting to see how the requests (and also the other variables) follow a Gaussian distribution for each day.

"Latency is the time interval between the moment an input/signal is sent to the system and the moment its output is available. In other words, latency is simply a measure of the response speed of a system". (source: [Wikipedia](https://it.wikipedia.org/wiki/Latenza)).

In particular, here we show the mean values and the 50th and 95th percentiles. A 50th percentile means that at least half of the requests were resolved within that period of time at most.

It is interesting to note how during the night, when the servers were off and had to be started, the latency increases because it includes the startup time.

Demo and feedback

The philosophy of Judo in Cloud is to give power to the organizer. No specialized technician needs to come on the day of the competition to prepare everything. All you need are modern computers with an up-to-date web browser (Chrome or Firefox) and an internet connection.

As for the number of computers, you will need one per competition area, one for the weigh-in room, one for the accreditation at the entrance of the venue and one for the coordinator, plus some spares for emergencies. You do not need to download any program, just go to our website and log in with the credentials we give you. However, make sure they are all configured for internet access before the competition.

As for the internet connection, Judo in Cloud uses very little bandwidth. An internet dongle, a SIM in a modem or a phone hotspot is enough. However, make sure there is signal inside the sports hall. You do not need a lot of power: we have optimized our application as much as possible to ensure fast performance even in the worst situations!

If it is really not possible to have an internet connection at the event, unfortunately the program cannot be used on the day of the competition, but we can still help you with the registrations and the draws (more details below)

Requirements

Our service offers everything together in a single package, at the very convenient price of one euro (1,00€) per athlete. This includes the pre-competition features, such as online registrations and draw simulations that can be created the day before, and the features for the day of the event, such as draws created on the spot (which take into account the athletes actually present and those who registered on the same day), the immediate distribution of the tournaments to the tatami computers, automatic repechages and rankings, and the public page that gives athletes, coaches and the public access to the match data.

One week before the competition, you must pay the first half of the fee, based on the number of expected athletes: for example, if 300 athletes are expected at the competition, the first instalment will be 150€. The second instalment is calculated on the athletes actually present: if 315 athletes showed up, the second instalment will be 165€ (to reach 315€); if 280 showed up, it will be 130€. If the program does not work on the day of the competition and becomes unusable, for any reason, you will not need to pay the second instalment.

Judo in Cloud works in phases, which we briefly explain here to show how an event that chooses to rely on us to simplify its organization takes place. Further below we go into more detail about how each single page works.

During a competition, the program will also be used by other people, such as competition officials or table officials. Make sure to send them these links so that they learn how to use Judo in Cloud in the best way.

Introduction

When you write to us at [info@judoincloud.com](mailto:info@judoincloud.com), we will get in touch to decide together what the needs of your event are.

We will give you a trial account, where you can test the program to get familiar with it and see if something you need is missing or if something could, in your opinion, improve the user experience. Judo in Cloud grows thanks to the feedback of all its users, and we are very happy to receive every opinion that your experience considers useful!

With your competition rules, we can create the necessary age classes, offering you total freedom in dividing the weights into different categories. We also offer classes divided by belt! (for example, black belts and coloured belts separately).

Finally, we will create your event in our system and give you the login credentials. From then on, coaches can register for your competition.

Creating the competition account

When you log in, a selection menu appears to decide what a PC must do on the day of the competition. In the days before, the accreditation page and the coordinator page are the most relevant: the first to see which clubs and athletes are registered (and, if needed, add, edit or delete them); in the second, the "Edit number of tatami" button to set the number of tatami of the competition and "Age class parameters" to confirm, for each age class, the points for a win or the weight tolerance.

Initial settings

Coaches can register athletes from their club area, in the Competitions section. The instructions for them are available on the page ["I am a coach, what do I do?"](/faq/allenatore). You can also register athletes as an organizer, by logging in and going to the accreditation page (be careful not to mark them as already present, that is needed on the day of the competition).

Registrations

On the coordinator page, clicking on "Draws and Brackets" opens a menu that shows, for each age class, the registered, present and weighed athletes. If the age class is not closed, the "Simulation" button appears: these are temporary draws that are not saved in the system and serve as an emergency backup, in case Judo in Cloud is not accessible on the day of the competition (or if you choose to use only the PreCompetition package).

Closing the weigh-in closes the registrations and creates the final draws that can be distributed to the tatami. If you intend to create them the day before, you can do it from home. Otherwise, you can do it on the day of the competition at the end of the weigh-in time. Judo in Cloud can create and distribute the brackets in less than a minute!

Pre-competition draw simulations

On the day of the competition you need a desk at the entrance that certifies who is present at the competition and, if necessary and useful for the organizer, verifies the payment of the registration fee.

The athletes marked as present here become available to be weighed, or, if they do not need to be weighed, they become directly available to be drawn into the brackets. From here you can also add, edit or delete them. There are also features to download the lists of athletes by category (weigh-in reports), age class or club, and features to download the Excel sheet or upload one containing some new athletes to add (more detailed explanations in the FAQ dedicated to the [accreditation page](/faq/accredito)).

Accreditation

For the age classes that require a weigh-in, there is the Weigh-in Room page, where you can mark an athlete as weighed, and therefore available for the draws, and change the value if needed.

If you want to create the final draws the day before, you must mark them all as already weighed before creating them, in case the weigh-in is still done on the day of the competition to confirm that the athlete is not outside the category.

Once the weigh-in time of an age class is over and the athletes have all been marked as present and weighed, you can close the weigh-in and create the final draws from the coordinator page, by clicking on "Draws and Brackets". You can then go to "Open unassigned categories" and move the various brackets to the tatami with the mouse. At this point you can go back to "Draws and Brackets" and download the PDFs of the brackets, where the tatami is also shown.

You can also use the "Auto Assign" button to divide them automatically. This feature tries to keep the numbers of matches as similar as possible, but it does not take other factors into account. The experience of a competition coordinator leads them to divide the brackets taking other things into account (for example, one category is on average faster than another). Make sure to discuss it with them first and follow their directions.

The tatami will each have a computer. From their dedicated page, they can download the assigned brackets and run the matches. The coordinator can see from their page how many matches each one has left.

Running the matches

 How do I use Judo in Cloud?

This page is for the accreditation desk, placed at the entrance of the event venue, to mark the athletes who are present and/or register new ones. Here the athletes are shown grouped by club.

Download the table of athletes grouped by category (the weigh-in reports), age class or club. You can filter by age class and/or show only the athletes who are present. You can download the table as CSV, a file format that your preferred program, such as Microsoft Excel or LibreOffice Calc, converts into a spreadsheet.

From here you can upload the Excel sheet downloaded from the downloads. It is used, just in case, to restore a previously saved backup.

Add an athlete to the system. The category is calculated automatically from the data entered. Additions or edits of athletes in an age class that is already closed (so with the brackets already created) are blocked. If you need to do so, see how in the section about the Coordinator page.

From this page you can also create friendly tournaments, not tied to the categories. For safety reasons, athletes can only be chosen from the same age class, and the exact weight is shown next to the name to help pair up, for example, athletes who are alone in their category. The matches use the same parameters as the chosen age class.

Coaches, from their public page, will see all the brackets where their athletes compete.

A single bracket is created based on the number of athletes, as is done for the competitive age classes. To make multiple mini pools, as for pre-competitive tournaments, you must create several of them one by one.

Friendly tournaments

From here you can download the weigh-in passes, blank or pre-filled with the athletes' data. These passes are useful if you want to use a double check and send to the weigh-in only the athletes who first went through the accreditation (and have therefore confirmed that they paid the registration fee, for example).

From here you can also download the club's coach pass, in case they did not download it themselves in the days before.

On the weigh-in page you can manage the athletes marked as present who need to be weighed in the presence of a competition official. Each weigh-in room needs a PC connected to the internet, which accesses this page to confirm the presence of an athlete and, if needed, change their weight to move them to another category.

It can happen that it is not possible to connect to the internet in the weigh-in room, for example because it is in a basement or because the high numbers do not leave time to use a PC. In this case, it is enough to download the weigh-in reports, print them (a procedure that is required anyway by the Fijlkam rules), write confirmations and changes by hand and then record them in the program later from the main table.

This is the main management page of the competition. From here you can edit the match parameters of the age classes, create the draws, distribute them and create the club ranking.

The page was designed to handle all the tasks of the competition coordinator. However, a coordinator has to take care of much more. It is therefore recommended to have a staff member who follows their directions to the letter and applies them in the program.

With Judo in Cloud you do not need a specialized technician. We will train, at no cost, a person you appoint to manage the competition, with the information already available on these pages. Thanks to the intuitive interface and the complete set of features, trained people can do everything without problems.

For serious problems on the day of the competition we are still available. Thanks to the cloud, we can intervene promptly from our office without having to be physically present, which ensures huge savings on staff. However, be aware that every feature needed to correct the problems of a competition is already just one click away!

Each square represents a tatami table, with its assigned brackets, the total number of matches and the number of matches still to be fought (which can be updated with the Reload Data button). You can move a category from one table to another by dragging it. If the table is running a match, it can finish it without the risk of losing data.

Tatami

Here the brackets that were just created and not yet assigned to a table are shown. You can drag them onto a tatami to assign them, or assign them all automatically. In this case, the system makes sure that all the tatami have a number of matches to fight that is as similar as possible (also taking into account those that are still left). Be aware that this distribution takes nothing into account other than the number of matches, and that the coordinator may use their experience to divide them differently. Make sure that the coordinator is the one who decides whether to use this feature or not.

When a table runs the last match of a bracket, the bracket is marked as finished, the ranking is created, and the bracket is moved to the "Open finished tournaments" section.

Open unassigned categories

Edit, for each age class, the match parameters (durations and win conditions) and the weight tolerance. You can write a message for the coaches about the weigh-in or accreditation times, visible on the public page of the athletes grouped by category (by going from the homepage to competitions and clicking on the number of athletes of your event).

From here you can see, for each age class, how many athletes registered, how many are present and how many are weighed. You can close the public registrations, or the weigh-in of an age class to create the draws for each category. You can print the PDFs, but it is recommended to distribute them to the tables first, so that the assigned tatami is written on the sheet. Finally, you can download simulations of the final brackets, just in case.

It is always recommended to print the brackets and also distribute physical copies to the tatami before starting the matches. Having a physical copy where wins are recorded by hand ensures you have a plan B in case, for any reason, the power or the internet goes down. In this way, the event can continue while the problem is solved, and the data can be updated quickly later.

There are two types of draws: competitive and non-competitive. The competitive categories, with more than five athletes, create a double elimination bracket with repechage, trying to separate athletes of the same club as explained in the PAAF. The non-competitive ones instead create many mini pools of at most four athletes each, trying not to put athletes of the same club together.

Once a category is closed, you can no longer add, edit or delete its athletes. If needed, you can reopen the weigh-in of a single category or of the entire age class. Their draws are deleted, so you can make the necessary changes and create new draws (which will differ from the previous ones, because they are random). For fairness, the draw must be redone if the number of athletes in a category changes, and you cannot delete the draw of a category where matches have already started without losing their data.

If you want to merge several categories together (for example for children or for adults with few participants), you must change the athletes' data from the accreditation or weigh-in page, so that they have the same weight and sex. If instead you want to hold friendly matches, for example for an athlete who is alone in a competitive category (without a dedicated bracket), you can do it from the tatami page.

Draws and Brackets

Choose the number of tatami of the competition. Removing a tatami with assigned brackets moves those brackets back to the unassigned ones. No matches or other data are lost.

Various prints of the competition are available, to help manage the event in the best way.

Creating the club ranking lets the public see it as soon as the button is clicked. Be careful to do it only at the end of the event, to avoid showing an incomplete ranking.

The tatami distribution shows the tournaments currently assigned to each table, in case a physical copy is needed.

Athletes and matches by category shows all the data a coordinator needs to organize the competition. Especially for large competitions, the coordinator must plan an initial division of the brackets at least a few days before.

Blank brackets can be useful if a bracket must be created by hand, while the flyers are great to hang up around the venue to direct coaches and the public, with a QR Code, to the dedicated page where they can comfortably see the brackets from their phones.

Reloads the data of the tournaments and age classes, to see the current situation of the tatami.

Normally, once the brackets are assigned to the tables, each tatami is free to choose the category and the matches to run. However, the coordinator may want to decide the exact order of the matches for each table. In this case, just click on the coloured icon at the top right of a tatami to choose which matches to run first. You can drag entire categories or single matches, and you can drag matches into the middle of a category (for example, to split a round robin).

Matches can also be ordered from the Tatami page. You must order the matches of a tatami to tell the public, on the projector page, in how many matches an athlete fights or who must warm up. The orders are not fixed, however, and they give flexibility to the heads of the table officials.

Large tournaments may need to be split between several tatami. By clicking on the division line "/" next to a tournament, you can assign to each single match the tatami where it must go.

For double elimination tournaments, there are convenient buttons to set a tatami for all the matches of a given pool.

Be aware that the part of a split tournament cannot be dragged from one tatami to another: the match numbers must be changed one by one from this same menu. You can still change them all together with a single button.

If an athlete must be disqualified, you can do it from this menu. Select the tournament at the top left, then select the athlete. In all subsequent matches the win is given automatically to the opponent.

If you hide an athlete, the athlete is no longer shown in the brackets.

From here you can manage the matches assigned by the coordinator. In the center of the page there is the chosen, up-to-date bracket, which can be changed from the drop-down menu at the top left. Every time a tournament ends, the bracket is automatically removed and the ranking is created. If the score of the last match was wrong, the coordinator must move the tournament back to the table, where you can edit the scores and recalculate the ranking.

At a table, a screen or a projector is normally used to show the results to the spectators. Clicking this button opens a second tab that shows only the data needed by the public and that updates automatically. In the computer settings, after connecting the second monitor, you must select "Extend this display" (and not "Duplicate this display"). The second window can then be dragged onto the second screen so that it is visible to the public; then press F11 to make it full screen.

After that, it is recommended to click on the first window and press F11 here too, to avoid pressing the buttons at the top left that reload the page or go back.

If the secondary screen stops updating, the connection must be restored. Simply click "Open second screen" again and the window that is already open is reconnected. If this happens during a match, write down the points and the time, click "Cancel all" to go back, click "Open second screen" again and then restart the match entering the scores written down before.

Second monitor

The system automatically calculates the next match to run in the selected bracket. Just press this button to start the scoreboard with the names already filled in. If instead you want to hold a friendly match, not present in any bracket, just click the dedicated button. A form is shown to enter the athletes' data and the match parameters. The data is not saved in the system.

Next match and Friendly match

The scoreboard, when used in a bracket match, automatically calculates the win condition. Once it is met, a confirmation of the winner appears together with the button to save the data, end the match and calculate the next ones. Make sure that the win is actually given by the central referee, and do not end the match before you have permission.

There is a button to go back. It is used only if a match was started by mistake or to reconnect the second screen, because it does not save the current scores (which are sent only at the end, when one of the two athletes wins). Do not use it to end a match! Wait until the win condition is met.

If the Golden Score ends without a win by either athlete, a notice is shown to choose the winner. Hantei (draws) are not accepted.

For disciplinary Hansoku Make, with a disciplinary report, or cadets who faint, we are working on a simple method to record them in the program. Stay tuned!

Scoreboard

If you want to choose a specific match of the bracket that is not the next one, you can select manually the match to run. Be aware that the coordinator must give explicit permission to use this feature; otherwise, keep using the "Next Match" button.

From the match table you can also click on a match that has already finished, to change its result if a score was given to the wrong athlete or if it must be continued from where it ended. The data saved from the last win is shown.

However, if the match that follows it, where the winner or the repechaged loser fights, has already finished, it cannot be changed from the program. If needed, contact us urgently.

Normally, once the brackets are assigned to the tables, each tatami is free to choose the category and the matches to run. However, recording the order of the matches in the program lets the public know when a given athlete will fight or who must warm up next. In this case, just click on the coloured icon at the top right of a tatami to choose which matches to run first. You can drag entire categories or single matches, and you can drag matches into the middle of a category (for example, to split a round robin).

Once ordered, the next match and the one after it appear on the screen, and from the match table you can see the assigned order (and, if necessary, switch to another match).

The category of the next match is selected automatically. You can select the other categories to see their brackets, but this does not change the next match to be fought.

Clicking on a tatami enlarges the view to show only the data of that table.

Judo in Cloud can collect the registration fee payments from the coaches through a convenient file collection service. Registered clubs can upload, from the same registration page, the bank transfers made out to you as the organizer, and you can see who has paid and for how many athletes. You decide which uploaded payments were made correctly. Finally, you can download all the payments in a convenient ZIP file. Contact us to add the payment fees to your event.

You can also add personal expenses and income, to have a complete overview of the finances of your competition.

Create your club's account through the form at the bottom of the [homepage](/#contact-us), which you can also reach by clicking on "Register as a club": enter the club name and code, country, region, phone number and email, and press "Send request". You will receive a link by email to set the account password. Then click on "Login" at the top right and log in with the email and password you entered.

Registration

After logging in, you enter your club's area. The column on the left (on a phone, the bar at the bottom) leads to the five sections: Today, Competitions, Athletes, Club and Website. To register for competitions you only need Competitions and Athletes; the other sections are part of the [club management](/faq/pro), which you can use whenever you want.

The Today page shows the next competition in the calendar with the "Register athletes" button, the requests to approve and the steps to get started with club management. The "Guide" button, below the sections, summarizes all the features.

All personal data is managed in compliance with privacy law and the directives of the European Union. You can see more details on the page [Information on the processing of personal data](/faq/gdpr).

Club area

In the "Athletes" section you find the list of your club's athletes, whom you can register for the various competitions. The fastest way to add them is "Import licenses": upload the PDF of the federation licenses (up to 5 files per analysis) and press "Analyze PDF". The program reads names, year, sex and belt and shows you the athletes to create and those to update, before importing them.

To add an athlete by hand, click on "New Athlete" and fill in first name, last name, sex, year and belt; date of birth, course, tax code and parent details are optional. To edit or delete an athlete, click on their name: their profile opens, with "Save" and "Delete".

Entering an athlete here does not register them for a competition: registration is done from the "Competitions" section.

Warning: editing or deleting athletes from the list does not carry the changes over to the competitions they were previously registered for. Once registered, the athletes are copied into the competition data. Any changes after the registration must be made by the organizer, whom you can contact at their email address.

For the pairs of kata competitions you can also enter athletes from other clubs: at the bottom of the list, press "Add external athlete" and fill in their data and the data of their home club. External athletes can only be used for kata competitions.

Athletes

In the "Competitions" section you can see the upcoming competitions managed by Judo in Cloud, with dates, venue and number of registered athletes. The filters at the top separate the upcoming competitions, those you have already registered athletes for, those you organize and the past ones. The number on each filter tells how many competitions it contains.
